4. HIPAA and health information
ASL Connection works in medical settings and may come into contact with Protected Health Information (PHI) as defined by HIPAA. We maintain a Business Associate Agreement (BAA) with interpreters working in medical settings. We handle all PHI in compliance with HIPAA requirements, including:
- Limiting access to PHI to only those who need it to perform their job
- Using secure, encrypted systems for storing and transmitting PHI
- Never transmitting sensitive assignment details via unencrypted email or text
- Requiring interpreters to sign a BAA before working medical assignments
5. How we share your information
We do not sell your personal information. We may share information in the following limited circumstances:
- With interpreters: We share relevant assignment details (date, time, location, assignment type, consumer first name) with interpreters being considered for or assigned to a job
- With clients: We may share an assigned interpreter's name and relevant credentials with the requesting organization
- With service providers: We use Supabase (database and authentication), Google (Calendar API, Maps API), and Stripe (payment processing) — all under data processing agreements
- As required by law: We may disclose information if required by a court order, subpoena, or applicable law
6. Data security
We take reasonable technical and organizational measures to protect your information, including:
- All data stored in encrypted databases hosted by Supabase
- Row-level security ensuring each user can only access their own data
- HTTPS encryption for all data in transit
- Private, access-controlled document storage for uploaded compliance files
- Admin access restricted to authorized personnel only
7. Data retention
We retain your information for as long as you maintain a relationship with ASL Connection, and for a reasonable period afterward as required for legal and tax purposes. Interpreter compliance documents are retained as long as required by applicable regulations. You may request deletion of your data by contacting us, subject to our legal retention obligations.
8. Your rights
Depending on your location, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information (subject to legal requirements)
- Withdraw consent for optional uses of your data (such as calendar integration)
- Receive a copy of your data in a portable format
To exercise any of these rights, contact us at info@aslconnection.com.
9. Google Calendar integration
If you choose to connect your Google Calendar, we use OAuth 2.0 to obtain your permission. We only request access to create calendar events — we do not read, modify, or delete your existing calendar events. You can disconnect your Google Calendar at any time through your interpreter profile settings. Disconnecting will stop future events from being pushed, but will not remove events already added.
10. Children's privacy
Our services are not directed to individuals under 18. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected such information, we will delete it promptly.
11. Changes to this policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page with a revised effective date. Continued use of our services after changes are posted constitutes your acceptance of the updated policy.
