2. Information we collect
From clients and organizations requesting services:
- Contact name, organization name, email address, phone number
- Assignment details: date, time, location, assignment type, communication mode
- Consumer/client name (the Deaf or hard-of-hearing individual being served)
- Special considerations or accommodations needed
From interpreters applying to or working with our network:
- Full name, contact information, and business information
- Professional certifications, memberships, and credentials
- Education, experience, and availability information
- Tax identification information (W-9) for 1099 payment purposes
- Compliance documents: immunization records, background checks, business licenses, insurance
- Home base address and travel radius preferences (used for geographic matching)
- Rates and invoicing information
- Google Calendar connection tokens (only if you choose to connect calendar sync)
Automatically collected information:
- Browser type, device type, and IP address (for security purposes)
- Pages visited and time spent on our website (via standard server logs)
3. How we use your information
- To match service requests with qualified, available interpreters
- To communicate about assignments, confirmations, and schedule changes
- To process invoices and payments to independent contractor interpreters
- To track compliance document status and send expiration reminders
- To push assignment details to connected calendar applications (with your consent)
- To calculate mileage for reimbursement purposes using Google Maps
- To maintain records required by law and for tax reporting (1099 purposes)
- To improve our services and resolve disputes
4. Health information in medical settings
Some assignments take place in medical settings, where interpreters may encounter Protected Health Information (PHI) as defined by HIPAA. We treat that information as confidential and handle it consistent with HIPAA principles, including:
- Limiting access to assignment information to people who need it to coordinate or perform the work;
- Keeping records in secure, access-controlled systems;
- Minimizing sensitive detail in routine communications and avoiding unencrypted channels for it where we can;
- Entering into a Business Associate Agreement (BAA) where one is required for an engagement.
5. How we share your information
We do not sell your personal information. We may share information in the following limited circumstances:
- With interpreters: We share relevant assignment details (date, time, location, assignment type, consumer first name) with interpreters being considered for or assigned to a job
- With clients: We may share an assigned interpreter's name and relevant credentials with the requesting organization
- With service providers: We use Supabase (database and authentication), Google (Calendar API, Maps API), and our email provider for transactional messages — each acting only on our behalf under their data-processing terms
- As required by law: We may disclose information if required by a court order, subpoena, or applicable law
6. Data security
We take reasonable technical and organizational measures to protect your information, including:
- All data stored in encrypted databases hosted by Supabase
- Row-level security ensuring each user can only access their own data
- HTTPS encryption for all data in transit
- Private, access-controlled document storage for uploaded compliance files
- Admin access restricted to authorized personnel only
7. Data retention
We retain your information for as long as you maintain a relationship with ASL Connection, and for a reasonable period afterward as required for legal and tax purposes. Interpreter compliance documents are retained as long as required by applicable regulations. You may request deletion of your data by contacting us, subject to our legal retention obligations.
8. Your rights
Depending on your location, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information (subject to legal requirements)
- Withdraw consent for optional uses of your data (such as calendar integration)
- Receive a copy of your data in a portable format

9. Google Calendar integration and Google API data
Calendar sync is optional and only for interpreters. If you choose to turn it on, we use OAuth 2.0 to request the Google Calendar scope https://www.googleapis.com/auth/calendar.events. We use this access for one purpose: to create, update, and remove events on your own Google Calendar that correspond to the interpreting assignments you have accepted through ASL Connection.
We do not read, collect, or store the other contents of your Google Calendar, and we do not request access to Gmail, Google Contacts, Google Drive, or any other Google service. The authorization tokens that make this sync possible are stored securely and used only for the calendar sync described here. You can disconnect at any time from your interpreter profile — which immediately deletes the Google tokens we hold for you — or revoke access directly at myaccount.google.com/permissions.
Limited Use. ASL Connection's use and transfer of information received from Google APIs to any other application will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, do not sell it, and do not use it to develop, improve, or train generalized or non-personalized AI/ML models. We do not allow humans to read it except with your explicit consent, where necessary for security or to comply with law, or where the data is aggregated and anonymized.
10. Children's privacy
Our services are not directed to individuals under 18. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected such information, we will delete it promptly.
11. Changes to this policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page with a revised effective date. Continued use of our services after changes are posted constitutes your acceptance of the updated policy.
